Bank Accounts
If this employee is normally paid via EFT or bank transfer, this screen shows any bank accounts which have been imported from their file.
You cannot edit bank account details in the payrun, but you may override the amounts or lodgement references if required.
Viewing Bank Account Details:
1. Select the Bank Accounts node for the employee
The Employees to Pay Bank Accounts screen will open showing a list of bank accounts containing the following information:
Field | Explanation |
---|---|
The balancing account will be selected, indicating that any outstanding balance remaining from a banking split will be transferred to this account (usually the employee's main account). This is a safeguard to ensure that the entire net pay is transferred to the bank. Only one account may be selected as the balancing account. | |
BSB | This is the BSB number of the destination account. You cannot edit this in the payrun. |
Account no | This is the destination bank account for this transaction. You cannot edit this in the payrun. |
Name | This is the account name of the destination bank account. You cannot edit this in the payrun. |
Lodge Ref | This lodgement reference will appear on the recipient's bank statement. You may edit this value if required. |
Initial | This shows the default banking split which has been imported from the employee's file. You cannot edit this in the payrun. |
Amount | This shows the actual amount which will be transferred to the employee's bank account. You can change this amount if required - see overriding banking splits for more information. |
Override | To override the default banking split, you must select this box. You will then be able to edit the Amount and Lodgement Reference fields. |
Allocation of Pay to Bank Accounts:
To transfer the entire net pay to the balancing account, right click on the bank account and choose Pay All to Banking Account from the pop-up menu.
The pay is allocated to bank accounts on a top-down basis. There are built in safeguards to ensure that the entire net pay is transferred to the bank. If there is insufficient net pay to fill any fixed dollar amounts, accounts will be paid on a top-down basis. To ensure that the pay is transferred correctly you should ensure that:
- any fixed dollar amounts should be placed at the top of the list
- percentage-based amounts are at the bottom of the list.
- Use the Up and Down arrows to re-order the accounts if necessary.
Overriding the Imported Banking Split:
Any changes made to the imported banking split within the payrun will only apply for this payrun.
To temporarily change the imported banking split:
- Click three times on the Override box of the account to override (three clicks are necessary because the box is embedded within a line item).
- Select the Amount column of the account that is being overridden.
- Enter the required amount.
- Click Apply.
The remaining accounts will automatically balance to ensure that the entire pay is being allocated.
